Los Pleneros de la 21 (LP21) seeks an Office and Marketing Assistant position to fulfill a fast-paced, dynamic position in a grassroots and family-based cultural organization. The position is responsible for implementing various tasks and projects at the same time and works in direct partnership and under the supervision of LP21’s Executive Director and Bookings Manager.

The position provides administrative and program/marketing support to the organization and is central to ensuring efficient functioning of LP21’s programs, musical productions and audience communications. Responsibilities include, but are not limited to:

Clerical & Administrative Duties:
• Answer and field calls, emails and other communications.
• Organize/maintain LP21’s physical and computer filing, photocopying and mailing.
• General upkeep and maintenance of LP21’s office space and work areas.
• Manages/maintains organizational needs for office supplies, mail distribution and other general office tasks.
• Draft/send cover letters, invoices and other general/template correspondence.
• Help oversee/supervise office interns and program volunteers in absence of LP21 E/D.
• Participate in weekly staff meetings.

Marketing/Outreach & Programming:
• Help disseminate marketing materials for LP21’s programs to audiences, program partners and other resources, including through email and social media marketing, group mailings and press releases.
• When necessary, help review and design basic promotional materials and program information.
• Create, prepare and update promotional and program press kits.
• Assist in maintaining/expanding social media content and activity.
• Handle and/or field performing and program-based inquiries, inform registrations and follow up with program participants.

Scheduling and Contact Management:
• Inform scheduling and logistics planning with the Executive and Bookings Manager.
• Send out reminders and confirm performance and program logistics to LP21’s artist ensemble, program staff and relevant volunteers.
• Update, organize and filter LP21’s contacts and databases.
• Contribute to updating and informing audience metrics.
• Help distribute and collect event and program surveys and evaluations.

Nearing its 30th Anniversary, LP21 is managing several creative and organization expansion projects. This is an exciting moment and opportunity for an enthusiastic learner that is motivated by working in a creative and community-focused environment and is interested in working towards enhancing the vitality and pulse of NYC’s cultural communities. As a learning environment, the position provides for several growth opportunities and direct engagement with management of cultural arts initiatives and musical production.

The position is part-time (average of twenty hours per week), Monday through Friday, 9:00 am to 1:00pm. Flexibility in schedule for special events on weekends and evenings is required.

Qualifications:

The successful candidate is a self-starter, energetic and resourceful individual with strong creative disposition, problem solving skills and an ability to work independently and with a small working staff.
The ideal candidate should demonstrate the following experience and skills:
• Bachelor’s degree from an accredited college or university.
• Minimum two (2) year work experience, preferably in administrative support or in nonprofit organizations.
• Advanced knowledge on Microsoft Office Suite, particularly Word, Excel, and Power Point.
• Some graphic design experience a plus.
• Knowledge and experience with Google Apps, iContact and online search engines.
• Data-entry and clerical/administrative assistance experience preferred.
• Understanding and Ability to maneuver various social media and online marketing outlets, including Facebook, Photobucket, ArtistData, GigMaven, Twitter, Scribd and more.

Additional qualifications are also preferred
• Bilingual Spanish/English (writing and speaking)
• Outgoing and creative thinker
• Interest and knowledge in Arts and Culture, particularly Latino arts and culture
• Ability to telecommute

The ensemble is regarded by many as New York City’s ambassadors of Bomba and Plena. The family of Los Pleneros de la 21—a hardworking visionary staff, an intergenerational performing ensemble, a crew of versatile and veteran teaching artists and a dedicated core of community volunteers—have for over 29 years combined accessible community and cultural programs in New York City with international touring and performing initiatives to service thousands of New York City and Latino audiences worldwide each year.
